Match the question to the right source
Start with the question that affects the file. Florida Statutes § 721.15(7) describes a managing-entity certificate for transactions within its scope, including certain fees and assessments and plan-record information. Other transactions may have different requirements.
| Check | Question it addresses | What to document |
|---|---|---|
| Resort estoppel or account statement | What does the resort or managing entity confirm about the specified ownership and its charges? | Authorized issuer, interest description, effective date, exact amounts and limitations. |
| Loan payoff | What does the creditor require to satisfy a reported financing obligation as of a specified date? | Creditor, amount and date, any updates required, and what confirms satisfaction. |
| Title or recorded-document review | What do the applicable records show about the interest and issues that could affect its transfer? | Records or materials reviewed, who reviewed them, and which matters require resolution. |
Worked example: resort account current, loan still open
A resort statement shows the regular assessment account as current. The seller mentions a loan. Keep the resort answer in the file and separately request the current payoff through the approved channel. If a deed or release needs review, identify who is responsible for that step. Each answer stays linked to its own source and date.
Illustrative example. The records and the agreed service determine the steps for a specific ownership.
Use a discrepancy log before anyone relies on the file
- Describe the difference in plain language, such as different owner names or an amount effective before the expected closing date.
- Record the issuer, date, and exact question each document answered.
- Assign the next check to the party who can resolve it, such as the resort, creditor, or title professional.
- Ask whether the answer needs to be refreshed if closing moves or an assessment changes.
- Record the evidence that resolves the difference in the private file.
Ask how to share the underlying documents
Start an inquiry with the resort, your role, and the question you need answered. Once the scope is confirmed, use the channel agreed for the file to supply any required authorization, ownership record, or financing document. Keep account numbers and documents out of the initial form.
