Start with a separate ownership summary
Identify each resort and interest precisely. Ask the closing contact how the accepted work will be divided into files or submissions. Use the assigned reference in follow-up so a document, question, or instruction can be matched to the right transaction.
| For each ownership, record | What to keep clear |
|---|---|
| File reference and ownership | The resort and interest this row actually covers. |
| Buyer, seller, and authorized contacts | Who can supply information or decide an open item. |
| Next milestone and next action | The task that can move this ownership forward. |
| Responsible party and relevant date | Who is expected to act, and the source of the date. |
| Confirmed charges and unresolved amounts | The estimate and responsibilities for this interest. |
| Completion evidence | The recording or resort confirmation required for the accepted work. |
Identify dependencies before setting expectations
Tell the closing contact if one transaction is intended to depend on another. For example, the parties may be planning around proceeds, an existing stay, or an account change. The closer and appropriate advisers can clarify what can be coordinated. An informal plan should not be treated as a confirmed condition or completion date.
Check each estimate and instruction against its file
Ask which ownership a charge covers and whether it is an information request, transfer charge, service fee, or another obligation. A shared resort name or contact does not establish a combined price. If funds are involved, verify the actual holder and instructions independently for the transaction.
Use the source that answers each question
An owner statement, resort response, loan information, and recorded document can serve different purposes. Keep the dated source with its ownership summary and flag conflicts. Program benefits also require their own review: Marriott’s published program terms, for example, describe conditions tied to ownership and benefit eligibility. Do not infer a combined account or benefit result from the number of purchases.
Review completion one ownership at a time
One file may be waiting for a resort response while another has reached a later milestone. Record what is complete, which evidence supports it, and what remains open. Share a concise update that names the file, next action, and responsible contact.
A tracker organizes the work; it does not itself establish ownership, acceptance, or legal completion.
Keep private material in the confirmed channel
Use the public inquiry only to describe the basic request. After the team reviews the work, follow its instructions for documents and private file access. Keep passwords, identity records, payment credentials, and private access links out of a shared tracker or general email thread.
